It is time to start preparing all your final details for your booking which is approximately 8 weeks away.
We ask that you prepare your attendance list ASAP as you need to send a broadcast email to all guests or parents/guardians of those guests staying with us as referred to below.Shortly you will receive an additional email from Venue360 with a link to login to our online system where you will complete your finalising details.If you have already used this system previously, you will need to log in using the username and password you already set for yourself.
These details need to be returned to me here at Collaroy 14 days prior to the commencement of your booking - specifically by
17 April 2025
.
Please note that the minimum number for which your group will be charged is 26 people, which is 85% of the total 30 people you booked with us.
As we serve multiple groups at our Centre it is necessary for us to allocate meal times for your group to ensure all guests can be served efficiently.
We allow 30 - 40 minutes per group in the dining room commencing at the time listed below.
The Meal times for your group are:
Breakfast: 7.15am
Lunch: 12pm
Dinner: 6pm
Friday supper: hot (2pc sausage roll/party pie) or cold supper (2pc Arnott's biscuits)
Please complete and return the items on the checklist below to ensure you are prepared for your upcoming camp:
1. Final Numbers Form
See attached document.
This includes your full time delegates, part time delegates and day/meal only visitors as well as equipment requirements.
2. Special Dietary Requirements Form
See attached document for instructions on how to collate this information.
Every guest attending will need to complete the online diet registration whether they have a diet or not.
Please see attached GSS instructions on how to 'broadcast' an email to all attendees or parent/guardians of attendees under 18 years for this information.
Please Note: You will need to supply email addresses of your campers or their legal guardian however these details will never be used for marketing.
Please note: If Medical Dietary Requirements are not received by the due finalising date, we will not be able to cater for any late dietary requirements past this date.
3. Anaphylaxis Plans
See attached document.
Please upload as one file to the online Group Self Serve portal, a copy of the ASCIA anaphylaxis management plans for each guest with an anaphylactic allergy. This must include a clear photo of the guest attached.
Please note: We are unable to cater for Egg Anaphylaxis so your group member must provide their own food to avoid risk of cross contamination.
4. Group Itinerary/Program
Please provide a copy of your program and ensure your Breakfast, Lunch and Dinner times match with the times allocated above.
Please advise us of your morning and afternoon tea times.Please note: The Dining Room will be locked from 7.30pm nightly. Supper, which is individual packet biscuits, will be given to the group leader at Dinner time in a container to take with them.
5. Rooming Allocations
Rooming is to be completed on the online Group Self Serve portal. To assist in your planning your group has currently been allocated:
Part of cabin 1 Dee Why – each room must have between 4-6 people per room; plus 2 deluxe rooms, sleeps 1-3 people per room; and
10 x hotel rooms.
If your room allocations change I will let you know ASAP.
Please complete the rooming on the online portal by the finalising due date.
Linen hire
Guests staying in Cabin Room accommodation will need to supply all their own linen including
bottom sheet, top sheet, blanket/sleeping bag, pillow, pillowcase and towels
. Alternatively you can hire sheets, blanket, pillowcase & a towel for $15 per person.
6. Additional Information
First Aid: - Confirm First Aid Person and First Aid Kit is organised and ready to bring.
Lost Property Policy: - Please be advised if any Lost Property is not collected within 4 weeks of departing the site the items will be donated to a charity.
Alcohol: - Please note alcohol and drugs are strictly prohibited on our site. If alcohol is found on our site it will be confiscated without notice.
Weekend Arrival Times:- Please note arrival time for guests onsite is not permitted prior to 5pm on Fridays and 4pm on Sundays.
